A log for invoices you had to resend or reissue

An invoice bounces from a dead email, sits unread in a spam folder, or had the wrong amount and needs correcting. Now there are two PDFs floating around and a client who isn't sure which one to pay. A simple resend log — original sent date, resend date, the reason, and a clear marker for which version is current — keeps the live invoice unambiguous. Cash Workspace lets you record each resend against the invoice and attach the latest PDF so the current version is never in doubt.

The problem

Why resent invoices cause confusion

Resending or reissuing an invoice is normal, but without a record of why and when, the trail goes cold and duplicate versions multiply.

  • An invoice bounced and you resent it, but there's no note saying which date the client actually received.
  • You corrected an amount and reissued, and now both the old and new PDF are in the client's inbox.
  • A client says 'I never got it' and you can't prove when or where it was first sent.
  • Two versions have the same number, so the paid one can't be matched cleanly later.
  • Weeks pass and you can't remember if the latest resend was the corrected version or the original.

The workflow

Log every resend against the invoice

Each time an invoice goes out again, add a dated line to its resend log and update which version is current.

  1. 1

    Record the original send

Note the date the invoice first went out and to which address, so you have a baseline.

  2. 2

    Add a resend line

When you resend, add a line with the resend date and the reason: bounced, lost, or corrected.

  3. 3

    Mark the reason clearly

Distinguish a plain resend (same invoice, sent again) from a reissue (new corrected version).

  4. 4

    Flag the current version

Mark exactly one PDF as 'current' and attach it, so the live invoice is unambiguous.

  5. 5

    Note the outcome

Once acknowledged or paid, note which version was paid so the record closes cleanly.

Record structure

What to record for each resend

A few fields per resend keep the version history clear and the live invoice findable.

Invoice number
The invoice this resend log belongs to.
Original sent date
When the invoice first went out, and to which email or address.
Resend date
Each date the invoice was sent again, listed in order.
Reason
Bounced, lost/unseen, or corrected — why this resend happened.
Resend vs reissue
Whether it's the same invoice again or a new corrected version.
Current version
A clear marker on the single PDF that is now the live invoice.
Latest PDF
The current version attached to the record so it's never mistaken for an old one.
Outcome
Acknowledged, paid, or still outstanding, plus which version was paid.

Example setup

An example resend log

One way to keep the history for a single troublesome invoice inside your workspace.

Invoice 2026-031 record

Original sent 3 May to old@client.com (bounced); resent 5 May to billing@client.com (lost in spam); reissued 9 May with corrected hours.

Current PDF

The 9 May corrected version, marked 'current' and attached to the record.

Superseded PDFs

The earlier versions kept for reference but clearly labelled 'superseded'.

Common mistakes

Mistakes to avoid

  • Resending without noting the date, so you can't prove when the client received it.
  • Reissuing a corrected invoice under a new number, breaking the match to the original.
  • Leaving two PDFs unlabelled so nobody knows which is live.
  • Forgetting to note the reason, so a pattern of bounced emails goes unnoticed.
  • Closing the invoice without recording which version was actually paid.

FAQ

Invoice resend log FAQ

Should a corrected invoice keep the same number?
Many freelancers keep the number and note it as a reissue, or add a version suffix like 2026-031-R. Whatever you choose, log it so the corrected version is clearly the current one.
How do I prove I sent an invoice on a certain date?
Record the original send date and address in the log when you send it, and keep delivery confirmations attached. Cash Workspace stores those notes and attachments against the invoice.
Does Cash Workspace resend invoices for me?
No. You send invoices yourself; Cash Workspace records each resend's date, reason, and current version so the history stays organized.

Organizing help — not tax, accounting, or legal guidance

Cash Workspace is a free workspace for organizing invoices, expenses, receipts, clients, and documents. This page is organizing guidance only — not tax, accounting, legal, or bookkeeping guidance. Cash Workspace does not connect to your bank, does not scan or read your receipts for you, and does not move or collect payments. Whether an expense is deductible depends on your situation, so confirm it with a qualified accountant or tax professional.
