How HELPERG LLC collects, uses, and protects personal information and workspace data for Cash Workspace.

Who We Are

Cash Workspace is operated by HELPERG LLC. Cash Workspace is a software workspace for organizing invoices, expenses, forecasts, documents, fiscal folders, and related financial operations for freelancers, small businesses, and agencies.

This Privacy Policy explains how we handle information when you create an account, use a workspace, upload document metadata, or contact us.

Information We Collect

  • Account information, including your email address and basic profile details used for authentication and workspace access.
  • Workspace usage data, such as workspace membership, roles, template installs, invoices, expenses, cashflow records, forecasts, document records, and product interactions.
  • Client/contact data you enter into your workspace, such as client names, addresses, and emails for invoicing.
  • Uploaded documents metadata, including file name, storage path, upload category, fiscal year, direction, status, size, and related workspace records.
  • Tax Prep records and categorization summaries you create when organizing records for tax preparation. Cash Workspace does not file taxes — these records are preparation/checklist content only.
  • Comments left by workspace members on financial records (documents, invoices, expenses) and feedback submitted via the in-workspace feedback form.
  • Public profile data (if enabled), including workspace public profile fields you choose to publish.
  • Cookie/consent preference choice, stored as a localStorage value (no cookie) — see our Cookie Policy.
  • Support and contact information when you email us or ask for help.
  • Technical information needed to secure and operate the service, such as logs, device/browser data, IP address, and security events.

Legal Bases (EU/EEA Users)

Where EU/EEA data protection law applies, we rely on the following legal bases: (a) contract necessity to provide and secure the service you signed up for, including authentication, workspace access, document storage, and invoicing; (b) legitimate interests in operating, securing, and improving the product, communicating with users about the service, and responding to support; (c) your consent for non-essential cookies/technologies such as analytics or marketing, where applicable; (d) legal obligation where we are required to retain or disclose information.

Cookies and Similar Technologies

We use essential technologies (authentication, session, security, and workspace functionality) without consent because they are necessary to provide the service.

Any non-essential technologies — for example analytics or marketing scripts — only load after you select "Accept all" in the cookie consent banner. You can change your preference at any time using the "Cookie preferences" link in the footer.

Your cookie preference choice is stored locally in your browser (localStorage), not as a cookie. See our Cookie Policy for the full list and how to change your choice.

Financial Documents Are Private Workspace Data

Financial documents and related records are private workspace data. They are used to provide the product, organize your workspace, support document workflows, and maintain security and auditability.

We do not sell personal data. We do not use private financial documents to provide banking, lending, payment processing, insurance, or regulated financial services.

How We Use Information

  • To create and secure your account.
  • To provide workspace features such as invoices, expenses, documents, forecasts, fiscal organization, exports, audit logs, and team membership.
  • To troubleshoot bugs, prevent abuse, monitor service reliability, and improve product quality.
  • To respond to support requests and operational questions.
  • To send marketing emails only with your consent where required by law.
  • To use analytics only with consent where required by law.

The Cash Workspace Mobile App

The app is another way to use your Cash Workspace account, and this Privacy Policy covers it. This is what the app itself does on your phone and what it sends.

  • Signing in: your email address and password go to our sign-in provider (Supabase), which returns a session. The session is kept in your phone's secure storage, protected by a key that stays on this phone.
  • On your phone the app also keeps your chosen workspace and language. Files you pick and photos you take are copied into the app's temporary storage to be uploaded; the operating system may clear it, and removing the app removes it.
  • Documents and photos you choose to file are uploaded to Cash Workspace and handled like documents uploaded on the website, including automatic reading of their text, which may be done by a document-reading service working for us.
  • The camera is used only after you tap “Take a photo” and allow it. Photos are reduced to at most 2560 pixels and saved as JPEG before they are uploaded. The app does not ask for your photo library, contacts or microphone.
  • Like any internet service, our servers and Supabase receive your IP address and technical request data (such as the time, the address requested and the device type) when the app connects. The app's server code does not record your IP address; our hosting and infrastructure providers may keep request logs under their own policies, which we do not control.
  • This version of the app includes no advertising, analytics or crash-reporting libraries and does not track you across other apps or websites.
  • Signing out ends this phone's session with our sign-in service and removes it from the phone. Your other devices stay signed in.
  • A password-reset link opens the app. Its one-time code works only together with a secret the app created on the phone that asked for the reset.
  • Removing the app does not delete your account. On iPhone the system may keep the app's secure storage after the app is removed, so sign out first if you want the session gone. To delete your account or export your data, write to info@helperg.com (see the Privacy Policy).

Weather

Cash Workspace can show the current weather from HELPERG's weather service. It is not linked to your account: weather requests carry no sign-in session or cookies.

  • Which place: a city you pick, a city named in a link you open, the city you picked before on this device, or a suggestion from your device's time zone. The time zone itself is not sent; only the suggested city is.
  • Your position is read only when you tap “Use my location” and allow it; the app asks for approximate location only. The position is rounded to about 1 km (two decimal places), sent for that request and not saved by our code.
  • What is sent: the city or the rounded position goes to Cash Workspace's server. Our server sends only coordinates — the city's or your rounded position — to HELPERG's weather service (helperg.com, operated by HELPERG LLC), which passes them to the Norwegian Meteorological Institute (MET Norway) to get the forecast. Our server does not pass on your IP address; HELPERG and MET Norway see our server's address.
  • To stop one client from using up the weather service, our server counts requests per client using the IP address of the request. The address is turned into a keyed hash straight away and kept only in that server's memory, not in our database or logs; the key changes whenever the server restarts.
  • Our server keeps a weather reading for each rounded place in memory for 10 minutes and, if the weather service is unavailable, may show it for up to 3 hours, marked as last updated. HELPERG's service keeps its own temporary copy, for minutes, or for some hours while MET Norway is unavailable. These caches are kept per place, not per person.
  • Our code logs only that a weather request failed and the kind of failure — not the place, coordinates or IP address. Our hosting provider and the infrastructure of HELPERG and MET Norway may record request data such as IP addresses and times in their own logs, which we do not control.
  • A city you pick is saved on your device (browser storage, or the app's secure storage) so it is shown next time; “Forget this city” removes it. Time-zone suggestions and positions are not saved by our code.
  • Our code does not send weather data to analytics. If you accepted analytics, a city named in a page address is removed from what is sent.
  • Weather data from MET Norway, licensed under CC BY 4.0; units are converted and conditions are mapped to a shorter list.

Sharing and Processors

We may use service providers for hosting, authentication, storage, email delivery, analytics, monitoring, and support. These providers process information only as needed to operate Cash Workspace.

We may disclose information if required by law, to protect the service, or to enforce our terms. We do not sell personal data.

Deletion and Export Requests

You can request deletion or export of your personal data and workspace data by contacting info@helperg.com. We may need to verify your identity and workspace authority before acting on a request.

Some information may be retained when required for security, fraud prevention, legal compliance, dispute resolution, backups, or audit records.

Your Rights

Depending on where you live, you may have the right to access, correct, delete, restrict the processing of, or port your personal data. You may also have the right to object to certain processing, to withdraw consent at any time where processing is based on consent, and to lodge a complaint with a supervisory authority.

To exercise any of these rights, contact info@helperg.com. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

International Transfers

Your information may be processed in countries where our service providers operate, which may be outside your country of residence. Where required by law, we rely on appropriate safeguards for international transfers.

Retention

We retain personal and workspace data while your account or workspace is active, and for as long as needed to provide the service, secure operations, comply with legal obligations, resolve disputes, and enforce our agreements. Some records (security events, audit logs, backups) may be retained longer where strictly necessary.

Security

We use reasonable technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, and destruction. No service can guarantee absolute security; we work to maintain a high standard but cannot promise that breaches will never happen.

Children

Cash Workspace is not intended for children. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact info@helperg.com so we can remove it.

Changes to this Policy

We may update this Privacy Policy as the product evolves or as legal requirements change. Material changes will be reflected in the "Last updated" date at the top of the page. Please review periodically.
